Terms and conditions

These terms apply to Aylesbury Music Centre membership and instrumental or vocal tuition provided by Buckinghamshire Music Trust.

The essentials

  • Membership and tuition operate as ongoing, rolling arrangements.
  • Fees are invoiced termly and should be paid by the due date shown on the invoice.
  • Withdrawal normally takes effect only at the end of a term after written notice has been accepted.
  • Applications are requests only; membership or tuition is not guaranteed until confirmed by the Music Centre.

1. Applications and availability

An application for Music Centre membership or tuition is a request for a place. Places depend on suitable groups, tutors, instruments, rooms and timetable availability. A contract begins only when Buckinghamshire Music Trust confirms the place.

2. Ongoing membership and tuition

Music Centre membership and tuition are provided on an ongoing, rolling basis and continue automatically each term, including into a new academic year, unless notice is given and accepted in accordance with these terms.

3. Fees and payment

Fees are invoiced termly and should be paid by the due date using the invoice number as the payment reference. Outstanding fees cannot be carried beyond the end of a term without prior agreement with the Trust’s central team. Membership or tuition may be suspended or withdrawn while fees remain unpaid.

Where a school has agreed to subsidise tuition through Pupil Premium or another arrangement, the amount billed directly to the parent or carer may differ.

4. Financial support

Buckinghamshire Music Trust is committed to making music accessible. Support may be available for families eligible for Free School Meals, families qualifying for the BMT Support Subsidy, and siblings. Eligibility and current reductions are explained on the fees page.

5. Giving notice

Pupils may normally withdraw only at the end of a term. Written notice must be sent to Aylesbury Music Centre and accepted by the applicable deadline, which will generally be the last day of the relevant half-term break. Late notice may result in a late-notice fee in addition to the following term’s invoice.

6. Attendance, absence and cancelled tuition

Parents and carers should tell the tutor about known absences at least one week in advance where possible. A lesson missed because of pupil absence, including a conflicting school activity, cannot normally be rescheduled, although a tutor may choose to do so.

If a tutor is absent, families will be informed and the lesson will be rearranged where possible. For a longer tutor absence, the Trust will seek suitable cover or provide an appropriate refund for tuition not delivered.

7. Music Centre participation

Music Centre members are expected to attend regularly, approach rehearsals positively and commit to the performance opportunities arranged for their groups. Membership provides access to eligible ensembles, subject to musical level, capacity and the agreement of Music Centre staff.

8. Safety and safeguarding

Buckinghamshire Music Trust is responsible for students while they are attending a Music Centre activity or an arranged visit or performance. Relevant safeguarding, risk-assessment, health-and-safety and first-aid procedures apply.

Parents and carers remain responsible for the student’s safety and wellbeing at other times, including travel to and from the Music Centre and collection after activities.

9. Medical, dietary, accessibility and learning needs

Parents and carers must provide accurate information about any needs that may affect a student’s participation and should contact the Music Centre if additional discussion or arrangements are required.

10. Contact details

Parents and carers must notify Aylesbury Music Centre promptly if personal, medical or emergency-contact details change.

11. Photography and recordings

The Trust may take photographs and audio or video recordings for archive purposes, staff training and its own publicity, according to the consent choice made on the application. Specific additional permission will be sought where material is proposed for use by an external organisation such as the press.

12. Mailing list

The Trust may add contact details to the chosen Music Centre’s mailing list only in accordance with the consent choice made on the application. Families can ask the Centre to update their preference.

13. Personal information

Information supplied through the forms is used to administer membership, tuition, safeguarding and relevant communications. It will not be shared outside the organisation without an appropriate reason or permission, except where required by law or safeguarding obligations.

14. Instrument hire

Instrument hire is subject to availability and separate hire arrangements. Priority may be given to Music Centre members. The hirer is responsible for following the care and return requirements supplied with the instrument.
